Job Description
PEP Stores South Africa is searching for a perceptive, creative administrative manager to oversee office operations and administrative staff members. The administrative manager will hire, train, and evaluate administrative team members; develop, review, and improve policies, systems, and procedures; and generally ensure the office operates smoothly and efficiently.
To succeed as an administrative manager, you should be focused on attracting and retaining top talent and streamlining office operations to maximize quality and efficiency while reducing costs.
You should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills.

- Manage the authorisation and payment of overtime for permanent and labour broker staff
- Consolidate the labour broker staff hours and send a monthly report to the central office
- Safe-keeping and managing of personnel files
- Compile information for meetings and budgets
- Extract data from WMS and make available to Assist DC Manager & DC Manager
- Manage the performance of the payroll administration process (DC Management & Central Office payroll admin)
- Manage the performance of the administration of stock control process (receiving; distribution; storage; QC)
- Coordinate, consolidate and distribute the DCM monthly reports nationally
- Manage the DC purchase and payment process
- Analyse GL and Bvar variance report for any discrepancies or variances and report to PEP fin/STAR
- Verify labour broker invoices against approved costing schedule for any discrepancies and resolve
- Manage the authorisation and payment of weekly and monthly production bonuses for permanent and labour broker staff
- Manage and control the petty cash for the DC
- Monitors actual performance versus planned performance (productivity and quality ) and provides feedback to individuals
- Manages leave schedules and provides and requests additional staff/tools/equipment when/where required
- Ensure that good housekeeping is maintained in the department
- Ensure that the correct procedures are followed regarding new supplier management
- Manage current suppliers and the supplier matrix with proper approval
- Liaises with stakeholders re operational DC Admin issues (e.g. Central Office Finance, Receiving, Storage, QC and Distribution)
- Manage Health and Safety within the Distribution Centre by ensuring health and safety meetings, fire drills and all checks are in place and presenting health and safety information for auditing
Desired Experience & Qualification
Required Knowledge and Experience
What you’ll need
- Grade 12
- A commercial degree will be an advantage
- 5 years of DC experience
- 5 years of financial experience
- Computer Proficiency (G SUITE)
- Bilingual (English and Afrikaans) will be an advantage
